Introduction

AS-ET Board of Trustees are committed to protecting your privacy as defined in the Data Protection Act 1998, the General Data Protection Regulation ((EU) 2016/679) or any successor legislation in the UK to the GDPR and Data Protection Act 1998.

As a non-profit making charitable body AS-ET is not required to register as a Data Controller with the Information Commissioner’s Office but we are expected to follow the conditions laid down in legislation.

We process personal information about you when you apply for a grant, make a donation by standing order or by invoice, enter a competition or apply for tickets for an AS-ET Lecture or other event.

We only collect the information that is necessary to carry out our functions. We will never pass on your details to third parties, other than as detailed in this statement, without your permission. The Charity Commission require us to keep documents relating to grants and finances for seven years after which they will be destroyed.

We seek your permission to use the email address you provide us with to send you information about AS-ET activities and events. You have the right to ask us to remove you from this data base and can do so by contacting us on

All computers on which your data are kept are protected by security software.

The lawful basis for processing information

The General Data Protection Regulations require us to have a lawful basis to process your information. They also require us to be clear about what information we keep, why we need it and who we share it with.

Application for Grants

We need to know your name and contact details in order to process your application. We need to know the name of the person who signs for the employer on the form so we can confirm your eligibility for the bursary. We may require progress reports from course providers so we can make a decision to release further funds.

Your application will be circulated to the five AS-ET Trustees who decide if the bursary should be granted. Once the decision is made all but two of the trustees delete your details from their computers. The Secretary of the Board of Trustees and the Bursary Trustee keep records in order to deal with financial matters and to monitor the progress of the bursary. If your application is successful AS-ET will inform the course provider of our decision in order for them to invoice us for the course fee.

In cases where your application has been turned down we need to keep the details of your application for seven years to satisfy the requirements of the Charity Commissioners.

The legal reason for us to process information from bursary applicants is because of the contract that exists between us.

Competitions

AS-ET regularly holds special bursary competitions. We need your name, work address, email, employers name and contact details to ensure we can process your application and ensure your eligibility to enter the competition.

Competition entries are received by the AS-ET Web Manager who forwards them to the Trustee responsible for competitions.  Identities of entrants are removed from the essays before they are sent to the judges.

The details of the winners the Congress Bursary or Special Travel Competitions are passed on to the Institute of Animal Technology Administrator who will make the necessary bookings for the prize. The details for all entrants will be sent to the Editor of Laboratory Animal Technology and Welfare who will consider publishing the essays. The name of the successful entrant will be published in AS-ET literature.

We do this with your consent but it should be pointed out if you withdraw it we will not be able to proceed with your entry.

Official Supporters

Standing orders and gift aid forms are dealt with by the AS-ET Secretary who is required by law to process them in accordance with banking and Charity Commission regulations. We need to process this information because of our legal obligations.

Completed Standing Order forms and Gift Aid forms are passed directly by hand or sent by registered post to the Secretary to the AS-ET Board Trustees. The forms are kept in a locked security cabinet for seven years as required by the Charity Commission.

With your consent we will use the email address provided on the forms to send information on AS-ET activities and events.

Corporate Sponsors

We keep contact details of our corporate sponsors in order so send them requests for funding and information about as-et activities and events. We only do this with your consent.
